Start here

This is Inbox Zero for Apple Mail on iPhone and iPad—not Gmail squeezed onto a smaller screen. The system uses account-level mailboxes and Apple Mail’s own mobile actions.

The shiftYour Inbox receives messages. Archive is the normal destination; Action, Waiting, and FYI hold only messages that still deserve intentional attention.

Three rules before you begin

Archive is not delete.

Archive removes a completed message from the Inbox while keeping it available in the account.

Archive first.

If nothing remains—or you finish it in two minutes—archive it. Mailboxes are only for unfinished attention.

Build inside each account.

Apple Mail does not create one custom mailbox that spans iCloud, Gmail, Microsoft 365, and other accounts.
