This version uses the capabilities that make Mail on Mac powerful: persistent Favorites, keyboard-and-pointer processing, flexible search, and optional views—without turning setup into an automation project.

The shiftYour Inbox receives messages. Archive is the normal destination; Favorites keeps Action, Waiting, and FYI visible only for unfinished attention.

Three rules before you begin

Archive first.

If nothing remains—or you finish it in two minutes—archive it. The three mailboxes are only for unfinished attention.

Keep the system on the server.

Choose the email account as the mailbox location so the system can appear on your other devices.

Automate last.

Smart Mailboxes and rules are optional improvements after the manual decisions are working.
