What is an AI agent, and how is it different from ChatGPT?

An AI agent is software set up to carry out a defined task with tools, information and rules you agree, such as sorting incoming requests. Used as a chat assistant, ChatGPT answers when you ask; an agent acts inside a workflow. For a small business, start with one agreed workflow and a person reviewing the result.

How is an AI agent different from a chat assistant?

The difference is in the job it is given. A chat assistant waits for your question and gives you an answer you then act on. An agent is set up inside a workflow, with access to specific tools and information, to carry out steps toward a defined result.

Put side by side:

  • Starting point: A chat assistant starts when you type. An agent starts from a defined trigger or task, such as a new request arriving.
  • Access: A chat assistant works with what you paste in. An agent works with the tools and information it has been authorized to use.
  • Output: A chat assistant gives you a reply. An agent can organize, draft, look something up or prepare a follow-up as part of the work.
  • Responsibility: With a chat assistant, you decide what to do with the answer. With an agent, the decisions people keep have to be agreed in advance.

The line between the two is blurring, because some chat tools can now take actions too. What matters is not the product name, but whether the tool is only answering you or has been set up to act inside a workflow, and what it is allowed to do there.

What can an AI agent do for a small business?

An AI agent can handle a recurring task with a clear owner, a useful output and a manageable scope. Typical examples are organizing incoming requests, preparing a draft for someone to review, finding information along with its source, or assisting with a defined follow-up.

These are examples to discuss, not a menu. Whether a task suits an agent depends on your information, the access available and the decisions your people need to keep. Sometimes the honest answer is that a simpler rule, template or ordinary automation would be enough.

Who stays in control when an AI agent does part of the work?

Your people stay responsible. An agent can read, draft and recommend, but those are distinct from taking action, and anything that acts on your behalf should pass through an approval point you have agreed.

A well-set-up workflow answers three questions before it runs:

  • What requires approval: Which steps the agent can only propose, not complete.
  • Who can approve: The named person with the authority to say yes.
  • How they review: What the reviewer sees before the action happens.

When the agent does not have the authority or information it needs, the right behavior is a safe stop or a manual handoff to a person, not a guess.

Where should a small business start with AI agents?

Start with one workflow you can describe today: the current steps, the people involved, the information used and the result you need. If you cannot describe it yet, the work to do first is defining the workflow, not choosing the tool.

From there, check what your tools and information can support, agree where a person needs to review or decide, and set observable tests that show whether the agent does the job. Keep the first project small enough that you can judge it.

Frequently asked questions about AI agents

Short answers on accuracy, oversight and software.

Is an AI agent guaranteed to be accurate?

No. An agent can make mistakes, which is why review and approval points matter. In a Next Concepts project, accuracy, savings, revenue and unattended operation are not guaranteed; results are assessed against observable acceptance tests, and any remaining limitations are resolved or recorded explicitly.

Can an AI agent run without anyone checking it?

Not as a starting point. A sensible first project defines what requires approval, who approves it and how they review the proposed action. Live use follows the responsibilities and approvals agreed for the project, including how to pause the workflow and recover if something goes wrong.

Do I need new software to use an AI agent?

Not necessarily. Part of the work is confirming what your existing tools and information can support before anything is built. Any tools, access, provider and usage costs are agreed for the project before implementation begins.

What does AI Agent Implementation from Next Concepts include?

AI Agent Implementation is a $1,499 one-time build for one agreed workflow. Responsibilities, approval points, acceptance tests and an operator handoff are defined for your project. Tools, subscriptions and provider or usage costs are paid separately; ongoing maintenance or support needs a separate agreement. We start by discussing the workflow and confirming feasibility, costs and timing before agreeing the project.
